COC Group Insurance Policy

In cases of conflicting information, the policy signed between the insurance broker and the COC takes precedence over text given here.

The COC has arranged for a Group Liability Insurance Policy which covers societies in all provinces with exception of Yukon, NWT, New Brunswick, P.E.I. and Newfoundland. The policy covers all shows, meetings and any society sponsored activity, such as greenhouse tours.

The insurance would be held by the COC and will be available to any society in good standing. The premiums from each society would also be collected by the COC. The policy covers:

Commercial General Liability,
Errors & Omissions Liability (Directors & Officers / Wrongful Acts),
Non-owned Automobile.

At a show or a meeting the host society's insurance would cover any liability.

When travelling to shows or other society activities, if the driver is using their own vehicle, their own insurance covers them; but if they are travelling in a rental vehicle, the COC insurance provides coverage up to two million dollars (with a $500 deductible). That would be in addition to any insurance the rental company requires.

Coverage Details

The coverage per insured society is:

Commercial General Liability, each occurrence: $2,000,000 with $500 deductible
Tenants Legal Liability - any one premises: $250,000
Medical Expense - any one person: $1,000
Aggregate Limit - Products/Completed Operations Hazard: $2,000,000
Bodily Injury/Property Damage and Legal Expenses: $500 Deductible
Errors & Omissions Liability(Directors & Officers/Wrongful Acts): $1,000,000 with $500 Deductible
Non Owned Automobile: $2,000,000

To repeat: The policy covers all shows, meetings and any society sponsored activity, such as greenhouse tours.

Some venues require their inclusion in the policy when a event is held on their premises. When this is required, the society must advise the COC insurance plan administrator (below) who requires the name of the venue/venue owner, address and dates of the event. A certificate will then be issued to the venue owner to cover this event.

Additional Coverage

Any society holding an event where alcohol is consumed such as a Wine and Cheese event must apply for additional coverage at their own cost.

The insurance agency is now offering coverage for libraries and possessions. The coverage is based on dollar value. An insured value of $10,000 would cost $50 per year with $500 deductible if the items were stored in one place. The items can be moved for use and then returned to the storage area. If all the items were moved from place to place, the cost would be $200 per year for a $10,000 value. Each society would have to advise the insurance administrator of the value of their possessions, who would then get the cost from the agent. The society would have to pay the premium directly to the insurance agent. This coverage can be obtained at any time without penalty.

Payment Due

The coverage period goes from January 1 to December 31. Insurance premiums for the next year are due by December 1 of the current year. Those societies wishing to join in the insurance coverage should do so when renewing their COC membership. The current rate is $1.50 per member of the society. The increase in insurance fees was approved at the 2009 AGM to help meet real costs of insurance being offered to societies and will rise again in 2013 to approach cost recovery. The cost of the additional insurance coverage for library and other equipment remains the same as last year. For a society joining after the due date there is an additional late fee of $25.00.
